The Situation
Pacific Hydraulics Newcastle (PHN) was running their operations the hard way — spreadsheets, whiteboards, and paperwork. Project tracking, staff timesheets, and reporting were all managed manually across disconnected systems. Management had no real-time visibility into job statuses, and the team was spending hours every week on admin work that could've been automated.

What We Built
We designed and built a custom internal web app tailored specifically to PHN's operations. The app centralised project tracking, staff timesheets, and job costing in one place — and integrated directly with their existing finance and project file systems to sync data automatically. We added automated reporting and export features so the team could generate accurate timesheet summaries, cost breakdowns, and project status reports with ease. The rollout was done in phases with ongoing feedback loops to make sure adoption was smooth across departments.
The Result
The app is now a core tool used daily by PHN staff across every department. Automated data syncing cut out the manual double-handling that was eating into the team's time — saving over 20 hours of admin work every week. Managers went from having no visibility into job progress to having a real-time view of all active projects and cost estimates at any point. What started as a solution to a frustrating workflow problem has become a company-wide system the whole team relies on.
