The Situation

Pacific Hydraulics Newcastle (PHN) was running their operations the hard way — spreadsheets, whiteboards, and paperwork. Project tracking, staff timesheets, and reporting were all managed manually across disconnected systems. Management had no real-time visibility into job statuses, and the team was spending hours every week on admin work that could've been automated.

What We Built

We designed and built a custom internal web app tailored specifically to PHN's operations. The app centralised project tracking, staff timesheets, and job costing in one place — and integrated directly with their existing finance and project file systems to sync data automatically. We added automated reporting and export features so the team could generate accurate timesheet summaries, cost breakdowns, and project status reports with ease. The rollout was done in phases with ongoing feedback loops to make sure adoption was smooth across departments.

The Result

- ⏱️ Saved 20+ hours of admin work per week - 📊 Full real-time visibility across all projects for management - 🔄 Automated data syncing eliminated manual double-handling - 🏢 Adopted company-wide as a core daily tool across all departments
